WhatsApp Marketing Automation & Business API in Nepal

For many Nepali shoppers and diners, WhatsApp is where the order actually happens — chat, not a long checkout form. Arjan KC builds WhatsApp marketing automation on the official WhatsApp Business Platform for retail, food delivery and D2C brands in Nepal: catalog and cart ordering, address collection, eSewa/Khalti payment links or COD confirmation, order-status notifications, handoff to a human, opt-in broadcasts and click-to-WhatsApp ads, all connected to a CRM, POS or Google Sheet so every chat can be traced to its source. This page does not invent a “90%+ open rate” Nepal average. Numbered results live at /case-studies/; the WhatsApp method case is the hospitality booking funnel.

Why Work With Me

Official WhatsApp Business Platform

Cloud API set up directly or through a Meta Business Solution Provider, with business verification and an approved display name — not grey-market bulk senders that get numbers restricted.

Automated Ordering Flows

Catalog and cart messages, WhatsApp Flows forms for address, landmark and delivery slot, and an order summary the customer confirms before the kitchen or warehouse starts.

Payment Links and COD Confirmation

WhatsApp’s native in-chat payments are not offered in Nepal, so flows send an eSewa, Khalti or Fonepay link or QR from your gateway — or ask the customer to confirm cash on delivery.

Order Status Notifications

Utility templates for order confirmed, rider dispatched, delayed and delivered, triggered from your POS, Sheet or store backend instead of being typed by staff.

Human Handoff That Actually Happens

Button and keyword routing to the right person (orders, complaints, bulk or corporate), business-hours rules and a response target, with bot replies that always offer a human.

Opt-in Broadcasts and Click-to-WhatsApp Ads

Marketing templates only to customers who opted in, segmented by purchase history, plus Meta ads that open a chat with the product or offer already in the first message.

CRM, POS and Google Sheets Integration

Webhooks push orders, tags and stages into HubSpot, Zoho, a local POS or a shared Sheet — every chat tagged with source, stage and outcome.

Measurement Beyond Chat Counts

UTM-tagged wa.me links, click IDs from click-to-WhatsApp ads, and confirmed orders sent back as conversions, so ad spend is judged on paid or delivered orders rather than message volume.

Nepal Market Context

In Nepali retail and food delivery, WhatsApp usually sits between the ad and the sale: a Reel or Search ad earns the click, and the order, address and payment are settled in chat. Many addresses are easier to describe by tole and landmark than by street number, so flows ask for a landmark and a shared location pin instead of a free-text address field. Cash on delivery is still common, which means impulse or fake orders cost rider trips; a confirmation step — a button reply, or a small advance by eSewa or Khalti on high-value orders — filters them without a phone call. Restaurants and cloud kitchens also compete with aggregator apps, and an owned WhatsApp channel lets repeat customers reorder directly when the menu, prices and delivery zone are clear. Dashain and Tihar flood inboxes, so routing, saved replies and staffed shifts matter more than one more broadcast. Unofficial bulk-sender tools put the number at risk; the Business Platform with recorded opt-in, approved templates and a staffed inbox is the compliant path. Meta now bills per delivered template message and has revised its pricing rules more than once since July 2025, so treat messaging as a running cost and check the current rate card before a large broadcast.

My Process

  1. Week 1 — Audit and app-or-API decision: Review chat volume, team size, order sources, the current number, catalog and delivery zones. If one or two people answer chats and broadcasts are small, the free WhatsApp Business app may be enough; the Business Platform (Cloud API) is recommended once automation, a shared multi-agent inbox or system integration is needed.
  2. Weeks 1–2 — Account and compliance setup: Meta business verification, WhatsApp Business Account and display name, a Business Solution Provider (BSP) or direct Cloud API, opt-in wording for checkout, website, counter and chat, and the first utility and marketing templates submitted (Meta states review can take up to 24 hours).
  3. Weeks 2–3 — Ordering flow build: Catalog sync, cart-to-order logic, address and landmark capture with a location pin, delivery zone and slot checks, eSewa/Khalti payment link or COD confirmation, and an order summary the customer approves before anything is packed.
  4. Weeks 3–4 — Integrations and human handoff: Webhooks into the CRM, POS or Google Sheet; order-status notifications triggered by the backend; routing rules, business hours and first-response targets; saved replies for the top questions.
  5. Week 4 onward — Ads, broadcasts and measurement: Click-to-WhatsApp campaigns with prefilled intent, segmented opt-in broadcasts, UTM and click-ID capture, and confirmed orders sent back to Meta and GA4. Monthly review of response time, order completion, cancellations and opt-outs.
  6. Handoff: SOPs, a template library and a named owner for every queue, so the team can run the system after the engagement.

Expected Results

Outcomes vary by industry and budget, but here are realistic benchmarks from Nepal campaigns I have managed or audited:

MetricTypical Range (Nepal)
Meta pricing modelPer delivered template message since 1 July 2025, priced by category (marketing, utility, authentication) and recipient country; service replies only inside the customer service window. Meta revises rates quarterly — check the current rate card
Customer service window24 hours from the customer’s last message; outside it, only approved templates can be sent
Template reviewMeta states an approval decision can take up to 24 hours; rejected templates can be edited and resubmitted or appealed
Business app broadcastsBroadcast lists in the free app only reach customers who have saved your number
Meta ad CPC (benchmark)Traffic NPR 5–18; lead forms NPR 15–45 — Benchmark Report 2027 managed-account medians, not a national census
Google Search CPC (benchmark)Restaurants/food NPR 12–30; e-commerce retail NPR 15–40 (same report)
Typical first go-liveAbout 3–4 weeks for one ordering flow, depending on business verification and catalog readiness

Figures are directional — your audit will set targets based on margin, competition, and tracking quality.

Industries I Work With

  • Grocery, fashion and electronics retail with catalog ordering
  • Restaurants, cloud kitchens, bakeries and cafés taking direct delivery orders
  • E-commerce & D2C brands running cash on delivery
  • Distributors taking repeat orders from shops
  • Education and study-abroad consultancies
  • Hospitality, hotels and trek desks (see the booking-funnel method case)
  • Professional and local services that close on chat

Example Outcome

There is no published WhatsApp revenue, order-volume or read-rate case on this site, and this page does not invent one. The closest published object is the hospitality WhatsApp booking funnel — a method case: one primary chat number on the site, Maps and ads; prefilled intent; saved replies for rates and deposit rules; and source tags before any paid scaling. Retail and food-delivery builds follow the same order: make the chat path work, tag the sources, then add automation and broadcasts. Numbered Search and Maps results remain at /case-studies/.

WhatsApp Sales Operations

Most Nepal B2C and B2B deals close on chat after an ad click. Structure labels, SLAs, and template libraries before scaling broadcasts.

Template categories

  • Utility: Order shipped, appointment reminder
  • Marketing: Festival offers (pre-approved templates)
  • Authentication: OTP and verification

Response discipline

A reply within minutes closes; a reply the next morning usually does not. Set a first-response target, give each shift a named owner, and never add anyone to a broadcast list who did not ask for it — a blocked number is not won back. Consent and a clear opt-out line belong in the first message, after which hand the thread to a human. Automated greetings that never escalate are the fastest way to lose a warm lead.

Frequently Asked Questions

WhatsApp Business app vs API — when is the free app enough?

The free WhatsApp Business app is enough when one or two people answer chats, the catalog is small, and broadcasts go to customers who have saved your number. It already includes a catalog, quick replies, labels and greeting or away messages. Move to the WhatsApp Business Platform (Cloud API) when you need automated ordering, a shared inbox with routing for several agents, CRM or POS integration, status notifications triggered by your systems, or opt-in broadcasts to customers who have not saved your number.

How does WhatsApp Business API pricing work in 2026?

Since 1 July 2025 Meta charges per delivered template message, priced by category (marketing, utility, authentication) and by the recipient’s country. Free-form replies can only be sent inside the 24-hour customer service window opened by the customer’s last message. Meta can change rates on the first day of each quarter and has revised the rules again since the switch, so check Meta’s current rate card before budgeting. BSP platform fees are charged separately from Meta’s message fees.

Can I send promotional messages without opt-in?

No. WhatsApp’s Business Messaging Policy requires that the person gave you their number and agreed to receive messages from your named business. Collect opt-in at checkout, on the website, at the counter or in chat, keep a record of it, and honour opt-outs. Unsolicited messages get blocked and reported, which lowers your number’s quality rating and can limit how many people you can message.

Can customers pay inside WhatsApp in Nepal?

Not natively. WhatsApp’s in-chat payments are limited to a few markets such as India and Brazil. Nepal flows send a payment link or QR from your eSewa, Khalti or Fonepay gateway and confirm the order when the gateway reports the payment, or record a cash-on-delivery confirmation instead.

How are automated cash-on-delivery orders confirmed?

After the cart and address steps, the flow sends an order summary with confirm and cancel buttons. Confirmed orders reach the POS or Sheet with a COD flag; unconfirmed ones get one reminder and then expire. Requiring a small advance on high-value orders is a business rule agreed with you, not a platform default.

Do you connect click-to-WhatsApp ads to the automation?

Yes. Click-to-WhatsApp ads open a chat with a prefilled message, and the incoming message carries a click ID that is stored with the order. Confirmed sales can be sent back to Meta through the Conversions API for business messaging, so campaigns optimise for orders rather than chats.

Which Business Solution Provider should we use?

Meta lists official partners in its Business Partner directory (360dialog, Wati and Interakt are examples). Choose on inbox quality, catalog and Flows support, CRM and POS connectors, support for +977 numbers, and billing. Platform fees vary and sit on top of Meta’s message charges; connecting directly to the Cloud API avoids a BSP fee but needs developer time.

Will automation replace our staff?

No. Automation handles the repeat steps — menu, cart, address, payment link and status updates. Complaints, custom orders, bulk enquiries and anything the bot cannot understand are routed to a person with the chat history attached.

What is reported each month?

Chats started by source, orders confirmed, payment-link completion, COD confirmations and cancellations, first-response time, opt-outs and blocks, and cost per confirmed order for paid campaigns.

Can WhatsApp replace email entirely?

For Nepal B2C promotions it often carries more of the load. B2B quotes, formal invoices and records still belong in email, so workflows are designed as a hybrid.
